About Sales Assist

What is Sales Assist?

Sales Assist is a sales engagement app for Uberflip, the platform your Marketing team uses to create and manage content. Sales Assist is specifically designed to help Sales teams to leverage that content for outreach, by making it easy to find and share content right within the tools you use every day.

You can use Sales Assist pretty much anywhere: in a browser on your desktop or phone, in Outlook (as an Add-in), or in sales tools like Salesloft or Outreach (using the Chrome extension).

With Sales Assist, you can:

  • Quickly find the perfect content for your outreach (and even create your own content for super-personalized outreach)
  • Build personalized content destinations in seconds
  • Easily share content with prospects by simply copying and pasting embeds into your emails
  • Get real-time notifications when a prospect visits content you've shared

Note

Depending on how your Sales Assist admin has configured the app for your organization, some of the tools and functionality described in this guide may not be available to you.

 

Accessing Sales Assist

In this section, we'll look at your options for accessing Sales Assist, as well as how to log in to the app.

Options for accessing Sales Assist

Because Sales Assist is a web app, there are multiple ways to access it. Simply choose the option(s) that best fit your outreach workflow:

Browser (desktop and mobile) Chrome extension Outlook Add-in
  • Works with any browser, on any desktop or mobile device.
  • Choose this option if want to use Sales Assist on a phone or tablet, or if you prefer to use a larger version of the Sales Assist interface on your desktop.

To access Sales Assist in a browser:

Logging in to Sales Assist

No matter which option you choose to access Sales Assist, the login process is the same:

  1. Click on Login with Uberflip.
  2. Enter your Uberflip username (email) and click Next.
  3. Enter your password and click Log In.
    • If your organization uses a Single Sign-On service (like Okta) to log in to Uberflip, click on the Log in with... button instead of entering your password, then sign in as normal. After you sign in, you'll be redirected back to Sales Assist.
  4. That's it! You're logged in to Sales Assist, and can begin using the app.

 

Navigating the app

In this section, we'll look at how to navigate the app.

Basic navigation

Sales Assist has three main sections: Search, My Streams, and My Shares.

  • To navigate between these three sections, use the navigation menu at the top:

  • Click your name in the top right to open the user menu, where you can edit your profile, access Sales Assist help and documentation, or sign out of the app:

  • From anywhere in the app, you can also always hit the back button in the top left to go back to the last page you were on:

Section overview

Here's a quick overview of what you'll find in each section:

Search section My Streams section My Shares section

Click on Search button in the navigation menu to open the Search section:

This section contains:

  1. The search tools, which allow you to find pieces of content ("Items") by keywords, tags, and content type. You can also view the most shared Items in your organization, and see just Items you've created yourself.
  2. The results panel, which lists all of the available content Items that match your search criteria. You can preview each piece of content, or share it directly. Or, you can add one or more pieces of content to...
  3. The basket, which is where you can "save" Items (even across different searches) to include them in a destination ("Stream") that you can personalize and share with a prospect.

 

Finding and sharing content

In this section, we'll look at how you can find content in Sales Assist, and how you can share an individual piece of content.

Finding content

Sales Assist gives you three ways to search the Items in your organization's content library: by keyword, by tags, and by content type.

Searching by keyword Searching by tags Searching by content type

To find content Items that match one or more keywords:

  • Enter the keywords you want into the search field:

  • Sales Assist will start searching as soon as you begin typing, and will display up to 50 results containing the entered keywords.
    • Sales Assist will also try to match partial keywords. For example, the keyword "market" would bring up content that contains not just the word itself, but also "markets" and "marketing".

Note

Keywords must be at least two characters long: any single character entered into the search field will be ignored.

You can use each method of finding content by itself, or in combination with the others. For example, you could search for content matching certain keywords, then further filter the results by tags and/or content type.

Other ways to find content

  • Search for the most shared Items: Click on the See Most Shared button when you first visit the Search section to view the 50 Items that other Sales Users in your organization have shared the most.
  • See just Items you have created: If you have created your own Items in Sales Assist, click on the My Items button (to the right of the tag group buttons) to view them.

Previewing an Item

You can preview any piece of content that appears in the search results.

To preview a content Item, follow these instructions:

  1. In the Search section, hover your mouse over a piece of content that you want to preview.
  2. Click on the View button:

  3. The preview will open in a new tab in your browser.

Sharing a single Item

You can share an individual piece of content (an Item), with your prospects directly from the search results.

Sales Assist will generate a variety of embed options for content you choose to share, and you can simply paste the embed directly into an email:

To share a single piece of content in Sales Assist, follow these instructions:

How to share a single Item

You can share individual pieces of content directly from the Search section in Sales Assist.

  1. In the Search section, find the content you want to share, then hover your mouse over it.
  2. Click on the Share button:

  3. Under Share Item with, enter the email address of the prospect you want to share this content with, then click the green checkmark button to the right.

    • Sales Assist will not send an email to this person — this is just to help you remember who this share was created for later on.
  4. When you share a single Item, it will be shown to the recipient in the context of your organization's resource center. If the same content appears in multiple different places (Streams), you can use the In Stream dropdown to choose which of the available contexts you want to use for this content:

    • Your shared Item will have a breadcrumb link to the Stream you select here, and your recipient will be able to navigate to and explore other content in the Stream.
  5. Next, choose the embed option you want to use. There are four options, with previews:

    1. Image and Text: Like a Facebook or Twitter link preview, with a large image and a text link.
    2. Tile Image: A compact image that functions as a clickable link to the content.
    3. Just Text: Just a text link, no image.
    4. Just the Link: No embed, just the underlying URL (including its share tracking code) that you can link to.
  6. Each option will appear just as shown in its preview. Click on Copy to Clipboard below the option you want to use.
  7. Finally, just paste the embed into an email (or elsewhere) to share it with your prospect (e.g. right-click anywhere in the email and click Paste, or just press Ctrl+V/Command+V).

Tip

When you share a link to an individual Item through Sales Assist, that link contains a unique share tracking code. Whenever someone views the Item using that link, you'll get a notification, and Sales Assist will also record this activity in the My Shares section.

 

Creating, customizing, and sharing Streams

In this section, we'll look at how you can create custom personalized Streams (destinations) for your prospects, as well as how to customize and share your Streams.

Creating a Stream

In addition to sharing individual pieces of content, Sales Assist also allows you to collect multiple pieces of content, and use them to create a self-contained microsite called a Stream.

Streams allow you to showcase a small collection of content that you've curated for your prospect. You can personalize a Stream with a custom headline and message, and use a template to make it look great:

To create Streams, follow these instructions:

How to create a Stream

You can create your own Streams to quickly build personalized destinations for your prospects.

Option 1: Start by selecting content

You can start creating a new Stream by first choosing the content that will be in it. This option is useful if you have some specific content in mind, or if you want to really personalize the Stream for your prospect.

  1. In the Search section, find some content you want to add to your Stream, then hover your mouse over it.
  2. Click on the Add button:

  3. This will add the content to your basket, which means it's selected to be included in your Stream. Repeat the process of adding content to your basket until you've added all the Items you want.
    • You can add up to 20 Items to a Stream in total.
    • Items that have been added to your basket will stay there, even if you change your search filters or perform a whole new search. Don't be afraid to keep searching to find the perfect content!
  4. When you're ready to proceed, click on the New Stream button.

  5. Fill out the Create a New Sales Stream form to personalize the destination for your prospect:

    • Heading (required): This is your destination's headline, shown in large text across the top.
    • Message (optional): Use this to enter a brief personalized message for your prospect. It's shown immediately below the heading.
    • Prospect (optional): Enter the email or just the domain (the part of the email after the @ symbol) of your prospect. Don't worry, nothing will be sent to them yet! Sales Assist just uses this information to find the prospect's company logo.
    • Template (optional): Select a premade template to style your destination (i.e. the banner, colors, etc.).
  6. Click on Create Stream.
  7. Your Stream will now be created, and the Manage Stream page will be shown. Here, you can customize your Stream (see below) before sharing it.

Option 2: Start without selecting content

You can also create a new Stream without first selecting content. This option is useful if your organization uses templates that "pre-fill" your Stream with selected content: in this case, just choose the appropriate template while creating the Stream, then either keep only the pre-filled content, or add/remove content as needed.

  1. In Sales Assist, click on the Streams button in the navigation menu.
  2. In the top right corner, click on the +New button.

  3. This will open the Create a New Sales Stream form. Simply complete this form as described in Option 1 above, then click on Create Stream.
  4. Your Stream will be created, and you'll be taken to the Manage Stream page. From here, you can customize your Stream (see below), for example by adding or removing Items.

Info

Once you've created at least one Stream, you'll also see an Existing button below the basket. Use this button to select an existing Stream to add the content in the basket to (rather than creating a new Stream):

Customizing a Stream

After creating a Stream, you can customize it in various ways. You can:

  • Change the heading, message, prospect, or template
  • Add a custom banner image
  • Add a passphrase, to protect Streams with sensitive contents
  • Add, remove, or change the order of Items in the Stream

To customize a Stream, use the Manage Stream page. This page is shown automatically whenever you create a Stream, but you can also reopen it manually at any time:

  1. In Sales Assist, click on the Streams button in the navigation menu.
  2. In the list of Streams, hover your mouse over the Stream you want to customize.
  3. Click on Edit:

  4. The Manage Stream page for the selected Stream will open.

To learn how to use the various customization options, follow the instructions below:

How to change a Stream's heading, message, or prospect logo

You can modify a Stream's heading, message, or prospect and logo at any time.

  • Open the Manage Stream page for the Stream you want to customize. Then:

    1. To change the heading: Enter new text you want to use into the Heading field. The heading on the Stream will be updated immediately.
    2. To change the message: Enter the new text you want to use into the Message field (or remove the text). The message on the Stream will be updated immediately.
    3. To change the prospect logo: Click on the current logo to open the Set Stream Logo window. Search for the company name, then click on the option you want:

      The new logo will appear in the preview to the right, and will be updated on the Stream immediately.
      • You can also change the prospect by entering a new prospect email address (or domain) into the Prospect field. Doing this will not change the current prospect logo.
      • If you want to just remove the prospect logo altogether, click on remove logo below the preview.
How to change a Stream's template

The template you have applied to a Stream determines its appearance. Even after you have created a Stream, you can still change the template used by the Stream at any time.

  1. Open the Manage Stream page for the Stream you want to customize.
  2. Click on More Settings.
  3. Use the Template dropdown to select a new template:

  4. The new template will be applied immediately. To see the change, click on Preview Stream.
How to add a custom banner image to a Stream

When you choose a template for your Stream, it will (typically) include a preset banner image. If you want, you can replace the template-default banner image with one of your choice.

Info

To do this, you'll need the URL where the new banner image is hosted. The URL must end with the image file extension (e.g. .jpg, .png, etc.) to work.

  1. Open the Manage Stream page for the Stream you want to customize.
  2. Click on More Settings.
  3. Enter the URL of the banner image you want to use instead into the Custom Banner Image field:

  4. The new banner will be applied immediately. To see the change, click on Preview Stream.

Note

If you change the template of this Stream after setting a custom banner, the custom banner will be removed and replaced with the banner specified in the template.

How to add a passphrase to a Stream

If you need to ensure that only a specific audience can view the Stream, you can protect it by adding a passphrase: anyone who visits the link must enter the correct passphrase before they can view the content in the Stream.

Tip

This option is especially useful for Streams that include sensitive content, such as pricing information.

  1. Open the Manage Stream page for the Stream you want to customize.
  2. Click on More Settings.
  3. Enter the passphrase you want to use into the Passphrase Protect field:

    • The passphrase must be between 6 and 40 characters in length, and must contain at least one letter and one number.
  4. If the passphrase meets the requirements, you'll see a green checkmark beside the Passphrase Protect field, and the passphrase will be applied immediately. To see the change, click on Preview Stream:

  5. Lastly, don't forget to tell your prospect what the passphrase is!
How to add, remove, or change the order of Items in a Stream

Add an Item

You can add Items to an existing Stream.

  1. Open the Manage Stream page for the Stream to which you want to add Items.
  2. Scroll down to the basket, then click on Add more:

  3. Add Items to your basket as usual.
  4. Below the basket, click on Current Stream:

  5. The new Items will be added to the Stream immediately.

Tip

You can also add Items to an existing Stream from the Search section. Just scroll down to the basket, then click on Existing and choose the Stream you want to add the Items in the basket to:image.png

(Note that this list will display the Streams you've used most recently. If the Stream you want doesn't appear in this list, use the search field to find it.)

Remove an Item

You can also remove Items from an existing Stream.

  1. Open the Manage Stream page for the Stream from which you want to remove Items.
  2. In the basket, hover your mouse over the Item and click on Remove:

  3. The Item will removed from the Stream immediately. To see the change, click on Preview Stream.

Change the order of Items in a Stream

The order of content Items in your Stream's basket also determines the order in which content appears in the Stream. For example, this basket:

Would result in a Stream that looks like this:

You can change the order of Items in a Stream by simply dragging-and-dropping them in the basket:

  1. Open the Manage Stream page for the Stream you want to customize.
  2. Scroll down to the basket section.
  3. Click-and-hold on any Item you want to move to a different place in the order, then drag it to the desired position:

  4. The new Item order will be applied immediately. To see the change, click on Preview Stream.

Tip

This works anywhere the basket is shown, so you can even determine the order of Items in your Stream while still filling the basket.

Sharing a Stream

When your Stream is ready, you can easily share it with your prospect.

Just like sharing a single Item, sharing a Stream creates a variety of embed options. All you need to do is choose which embed option you want, then simply paste into an email:

As with all content you share through Sales Assist, embed links for Streams contain a unique share tracking code that allow the app to keep track and notify you when a prospect engages with your shared content.

To share a Stream, follow these instructions:

  1. Open the Manage Stream page for the Stream you want to share.
  2. Click on the Share button:

Info

The image used for the embed will be taken from the first Item in the Stream. If you want to use a different image, just change the order of Items in the Stream.

Tip

You can also share an existing Stream directly from the My Streams section. Just hover your mouse over the Stream, then click on Share:

Managing your Streams

In this section, we'll look at how to manage the Streams you have created.

Managing Streams

You can manage your own Streams in various ways. You can:

  • Duplicate a Stream to create a new Stream from an existing Stream
  • Archive Streams that are no longer needed
  • Use advanced edit options to make changes to a Stream beyond what is available within Sales Assist

To manage your Streams, go to the My Streams section:

  1. Click on the Streams button in the navigation menu.
  2. You will see a list of Streams you have created. Hover your mouse over the Stream you want to manage.
  3. Click on the Edit button:image.png
  4. The Manage Stream page will open for the selected Stream.

Tip

From the My Streams section, you can also directly preview, share, or view engagement activity for each of your Streams.

To duplicate, archive, or access advanced edit options for a Stream, follow these instructions:

How to duplicate a Stream

You can copy any existing Stream to create a new Stream. This is useful if you have an existing Stream that you want to reuse for a different prospect.

  1. Open the Manage Stream page for the Stream you want to duplicate.
  2. In the top right, click on the Duplicate Stream button:

  3. In the Duplicate This Stream window, enter a heading, message, and prospect for the new Stream:

  4. Click on Create Stream.
  5. Your new Stream will immediately be created. The new Stream will have the new heading, message, and prospect and logo you just set, but will otherwise be an exact duplicate of the existing Stream (the same template, content, customizations, etc.). From here, you can either modify the Stream further, or just share it right away.
How to archive a Stream

When you no longer need a Stream, you can archive it. This will effectively delete the Stream, removing it from your list of Streams in Sales Assist.

Important

When you archive a Stream, a Sales Assist admin can still recover it for you if needed. However, any share data associated with the Stream will be lost forever as soon as you archive it.

  1. Open the Manage Stream page for the Stream you want to archive.
  2. In the top right, click on the Archive Stream button:

  3. After confirming that you want to archive the Stream, it will be removed from your list of Streams immediately (and associated share data will be removed from the My Shares section).
How to access advanced edit options for a Stream

If you want to customize your Stream beyond what's possible with the options available in Sales Assist, you can access advanced edit options in the Uberflip backend.

  1. Open the Manage Stream page for the Stream you want to archive.
  2. In the top right, click on the Advanced Edit in Uberflip button:

  3. The Stream will open in the Uberflip backend in a new tab. Here, you can customize the Stream's settings as needed: for more details, see this article.

 

Creating your own content and templates

In this section, we'll look as how you can create your own content Items and templates in Sales Assist.

Creating and managing your own Items

You can create your own content Items directly within Sales Assist. This is useful for bringing documents you've created outside of Uberflip into Sales Assist, such as slide decks, spreadsheets, etc., or other one-off documents you've created especially for certain prospects. Unlike Items from your organization's content library, Items you have created are available only to you.

Tip

This feature is great for bringing in pricing sheets — especially in combination with the passphrase protect feature.

When you create your own Items, you can simply enter the URL where the content is hosted (e.g. a Google Docs URL), and Sales Assist will embed that content within the Item:

You can embed almost any content that is hosted on the web and which is allowed to be embedded (not all content can be displayed in an iframe):

  • URLs that end with a supported Office Document filetype extension (.doc/.docx/.ppt/.pptx/.xls/.xlsx) will be displayed using the Office Web Viewer
  • URLs ending with .pdf will be displayed using the Google PDF Viewer
  • URLs to Google Docs file (including Docs, Sheets, Slides, etc.) will be displayed using the relevant Google viewer for that file type

Note

Due to Dropbox restrictions, Sales Assist can't display content hosted on Dropbox by default. If you want to bring in content from Dropbox, your Sales Assist admin must complete additional setup steps.

To create and manage your own Items, follow these instructions:

How to create an Item

You can create your own Items, which you can share directly or add to Streams like any other Item in Sales Assist.

  1. Click on Search in the navigation menu.
  2. Below the search box, click on the My Items button:

  3. Click on the Create an Item button.
  4. In the Create and Insert Your Own Item window, paste the URL of your content into the Embed URL field:

    • Sales Assist will attempt to get an appropriate title, description, and thumbnail image for your content from the metadata of the URL you provided. If it can find these details, it will automatically prefill the relevant fields for you.
  5. If needed, complete (or edit) the Title and Description fields.
  6. If you want to change the thumbnail image (or set one, if none was found) for your Item, either:
    • Enter the URL of the image you want to use (the URL must end in an image extension, like .jpg, .png, etc.), or
    • Click on the arrow button to view the image library created by your Sales Assist admin, then click on an image to use it:

  7. Optionally, you can also add some additional text that will be displayed below the embedded content. To do so, click on Add Context for Prospect, then type your text into the field that appears.
  8. When you're ready, click on the Create button to create your new Item.
  9. You'll be returned to the My Items view in the Search section, where you'll see your new Item listed:

  10. From here, you can preview your new Item, add it to a Stream, or share it directly — just like any other content Item.
How to edit or delete your Items

You can modify or delete Items you have created at any time.

  1. Click on Search in the navigation menu.
  2. Below the search field, click on My Items.
  3. Find the Item you want to edit or delete in the list and hover your mouse over it.
  4. Click on the Edit button:

  5. The Edit Your Item window will open:

    1. To edit the Item: Use the fields to make any changes, then click on the Edit Item button to save your changes.
    2. To delete the Item: Click on the delete (trash) button in the lower left corner. After confirming that you want to continue, your Item will be deleted immediately (removing it from any Streams you had placed it in).

Creating your own templates

In addition to the system templates that are created by your Sales Assist admins, you can also create personal templates to style your Streams. Unlike system templates, personal templates are available only to you.

To create and manage personal templates, follow these instructions:

How to create and customize a personal template

You can create your own personal templates, which you can use just like system templates in Sales Assist.

  1. Click on Search.
  2. Add Items that you want to be part of the template to your basket, then click on the New Stream button.
    • The Item(s) you add to your basket in this step will be part of the template, i.e. they will be added to the Stream anytime you select this template. If you prefer to create a template with no Items included, simply choose any random Item for this step, then remove it later.
  3. In the Create a New Sales Stream form, skip directly to the template dropdown and choose the option + Create New:

  4. The Create a New Sales Stream form will change. Enter a name for your template, then click on the Create New Template button:

  5. The Manage Template page will open. Here, you can customize your template in the same way you would customize a Stream. On templates specifically, you can:
    • Set the name and description of your template (these are only visible to you, and are not part of any Streams you create from this template)
    • Add a custom banner image which will appear on all Streams created from this template
    • Add a passphrase which will be applied to all Streams created from this template
    • Use the advanced edit options by clicking on the Advanced Edit Template in Uberflip button in the top right to further customize the template:

  6. At this stage you can also remove items from the template that you added in Step 2 (if you want a template with no Items):

  7. Any changes you make on this page will be saved automatically, so you can simply exit this page at any time (by navigating to another part of the app).
  8. Once created, your templates will appear as an option when creating or editing a Stream:

How to edit or delete a personal template

You can modify or delete your personal templates at any time.

  1. Click on Streams in the navigation menu.
  2. The My Streams section will list your personal templates alongside your Streams, marked with a Template badge:

  3. Hover your mouse over the template you want to manage, then click on the Edit button:

  4. The Manage Template window will open:

    1. To edit the template: Use the fields to make any changes, or click on the Advanced Edit button in the top right for additional options. Any changes you make are saved automatically.
    2. To add Items: Click on Add more, add the Items to your basket, then click on Existing and choose the template from the list:

    3. To remove Items: Hover your mouse on the Item in the basket, then click on Remove.
    4. To delete the template: Click on the delete (trash) button in the lower left corner. After confirming that you want to continue, your Item will be deleted immediately (removing it from any Streams you had placed it in).

Tracking share engagement

In this section, we'll look at how you can keep track of how prospects are engaging with content you've shared through Sales Assist.

Tracking engagement in real-time with notifications

Sales Assist is able to notify you in real-time whenever there is activity on a link you've shared through the app. And because links created by Sales Assist are unique to specific shares, Sales Assist can attribute activity to specific shares (and, by extension, to the prospect associated with a share). As a result, you'll know exactly when your prospects are engaging with the content you've shared, and can follow up at just the right time.

Here's how it works:

  • When you share a link to content, Sales Assist starts monitoring that content for activity
  • While the app is open, Sales Assist checks every two minutes if there has been new activity on your shares
  • If there is new activity, and that activity came from a link that's tied to a particular share, Sales Assist will send you a notification:

  • You can then simply click on the notification to see more details

Sales Assist can send you two types of notifications:

  • If you're currently working in the app, it will send you an in-app notification.
  • If the app is open, but not on the active tab, it will send you a desktop notification.

If the app is not open, you won't get a notification — but you can still catch up on historical engagement records in the app when you log in again later.

Viewing historical share engagement

Your prospects won't always be checking out your shares while you have Sales Assist open. For activity that took place while you were logged off, or for notifications you missed, you can use the My Shares section in Sales Assist to catch up.

To view historical share engagement, follow these instructions:

How to view historical share engagement

You can visit the My Shares section at any time to review past engagement activity on your shares.

  1. To access the My Shares section, click on Shares in the navigation menu:image.png
  2. The My Shares section displays specific activity details, broken down by individual shares (prospect emails), for any of your shares that had activity in the past 90 days. By default, it will show only share activity that happened in the last 48 hours:image.png
  3. Use the filter dropdown to view older share activity for other shares (which had at least some share activity in the past 90 days). By default, the filter dropdown lists just shares with recent activity. You can also use the search field in the filter dropdown to find shares that do not appear in this list:

  4. You can also view historical share engagement for any Stream you've created directly from the My Streams section. To do so, just click on Streams, then hover your mouse over the Stream and click on the Activity button:

Although Sales Assist attributes activity to specific prospects, keep in mind that this is an assumption: since the activity came from a link that's unique to your prospect, it's most likely that this is the person who visited the link — but Sales Assist has no way of knowing for certain.
