Use Tags on Your Items

Learn how to add and manage Item tags in your Hub, which you can use to enhance Hub Search and Smart Filters.


 

Before You Begin

  • To work with tags, you need to be an Account Admin, Content Manager, or Author.

 

About Item Tags

In Uberflip, you can add tags to all content Items in your Hub, similar to how tags work on most blogging platforms. A tag is simply a keyword used to categorize content, and Items that have a tag are associated with that keyword/category. You can use tags to return associated Items when a visitor searches for the keyword in Hub Search (if enabled), or to select Items using Smart Filters.

You can add and remove tags on Items individually from both the Stream and Item views, or automatically using Smart Filters, Scheduled Tasks, or when importing from an external blog.

A few things you should know about tags:

  • Tags can be added to Items only — they can't be added to Streams.
  • Tags are not visible on the frontend (i.e. to visitors to your Hub) when viewing an Item, the way blog tags often are. They are used only in the Hub backend.
  • Tags are account-wide: if you have multiple Hubs, any tags you create will be usable across all Hubs, and tags created in any Hub will be shown in the list of existing tags in the Tags Manager.

 

Add and Remove Tags on Items

At both the Stream level and the Item level, you can manually add either an existing or a brand-new tag (created at the time you add the tag) to any Item, and remove tags previously added to Items.

Add & Remove Tags at Stream-Level

  1. In the Hub you're working with, click on Content in the sidebar menu on the left.
  2. On the right side, you should be on the Streams tab. Scroll down and click on the Stream you want to view.
  3. In the Stream view, scroll down to the Item Tile for the Item you want to add a tag to. At the bottom of each Item, you should see a number of buttons, including the Tag button:

  4. If an Item already has at least one tag applied to it, the button will have a label indicating the number of tags applied:

  5. Click on the Tag button to open the Tag Item menu.
    • To add an existing tag: Start typing the tag you want to add into the Tags field on the right. Any already existing tags that match what you have typed will be autosuggested:

      To add any existing tag, simply click on it in the list of autosuggested tags. Tags that have been added are shown enclosed by a box:

    • To create and add a new tag: Type out the full tag text and hit the Enter key. The tag will be added and applied, appearing enclosed in a box just like an existing tag.
    • To remove an existing tag: Click on the x within the tag's box to remove that tag:

  6. To save your changes, close the Tag Item menu by clicking on Done.

Add & Remove Tags at Item-Level

  1. In the Hub you're working with, click on Content in the sidebar menu on the left.
  2. On the right side, click on the Items tab. In the list of Items, find the Item for which you want to add or remove tags and click on it.
  3. The Edit Article view will open. Here, click on the Tags tab:

  4. If an Item already has at least one tag applied to it, the tab will have a label indicating the number of tags applied:

  5. Under the Tags tab, you will see the Tags field on the left:
    • To add an existing tag: Start typing the tag you want to add into the Tags field. Any already existing tags that match what you have typed will be autosuggested:

  6. Any changes you make here will be saved automatically, and applied immediately.

Item-Level: Alternative Method

  1. Alternatively, you can also edit tags at the Item level by hovering your mouse over the Item in the list of Items to bring up the contextual buttons for that Item on the right:

  2. Here, click on the Tags button:

  3. The Tag Item menu will appear, which is the same one that appears when you edit tags at the Stream level.

 

Manage, Edit & Delete Tags

You can manage your existing tags in the Tags Manager. Here, you can:

Open the Tags Manager

  1. In the Hub you're working with, click on Tags in the sidebar menu on the left:

  2. The Tags Manager will appear on the right. Here, you'll see a list of all existing tags:

  3. If you have more than 10 existing tags, the list will be split into pages. Use the page navigation buttons at the bottom of the page to switch between pages.
    • You can use the Show [x] entries dropdown in the top left to control the number of tags shown on each page.
  4. You can also filter the list of tags by entering a keyword into the Search box in the top right, which will display only tags that match (or partially match) the entered keyword.

Create a New Tag

You can create a mew tag without assigning it to any Item using the Tags Manager.

  1. In the Tags Manager, scroll down to the bottom of the page and click on the New Tag button.
  2. The Add Tag menu will appear. Enter the tag text into the Tag Name field. If you want, you can also enter a description of the tag (optional).

  3. Click on Save, and your new tag will be added to the list of tags shown in the Tags Manager:

  4. The new tag, along with any other existing tags, will now be autosuggested when adding a tag to an Item.

View All Items with a Specific Tag (and Remove Tag from Items)

The Tags Manager allows you to see all the Items that a tag has been applied to in one place, and to remove the tag from any of those Items at the same time if you want.

  1. In the Tags Manager,  you should see a table with three columns: Name, Description and Count:

    • Name and Description are the tag text and any description you added (if you created the tag in the Tags Manager)
    • Count is the number of Items that the tag is currently applied to
  2. To see which Items a tag is currently applied to, click on [X] Items under the Count column beside the tag:

  3. This will open the Tagged with "[tagname]" window, which shows all the Items that the selected tag is applied to. You can filter this list by Stream using the dropdown, or by keyword using the Search Items field, both located in the top right corner.

  4. To remove the tag from any Item shown, click on the Item's Tile. The Tile will become greyed out, the checkmark from its upper right corner will disappear, and the [X] Items selected text in the lower right will update to reflect how many Items the tag will be applied to after the change is saved:

  5. To save your changes, click on the Update button in the lower right. You'll be returned to the main Tags Manager table, where the number of Items shown under the Count column for the tag will have updated to reflect the change.

Edit an Existing Tag

You can edit the tag text or description of any existing tag. Doing this will also automatically update the tag text on any Item that the tag is already applied to.

  1. In the Tags Manager, find the tag that you want to edit in the table and hover your mouse over it.
  2. Additional option buttons will appear on the right side, after the Count column. Click on the Edit button:

  3. The Edit Tag window will appear, showing the current tag text and description. Make any changes you want using the text fields provided:

  4. To save your changes, click on the Save button.
  5. You'll be returned to the main Tags Manager table, where the new tag text and/or description will be reflected in the table.

Delete a Tag

If you want to delete a tag that's no longer needed, you can do that from the Tags Manager as well.

Caution

Deleting a tag will also immediately remove it from all Items that it is currently applied to, and from all Smart Filters and Scheduled Tasks that reference it (potentially breaking affected filters/tasks). Deleting a tag is permanent and not reversible.

  1. In the Tags Manager, find the tag that you want to delete in the table and hover your mouse over it.
  2. Additional option buttons will appear on the right side, after the Count column. Click on the Delete button:

  3. A warning prompt will appear. If you're sure you want to delete the tag, click on the Delete Tag button.

  4. You'll be returned to the main Tags Manager table, where the deleted tag will no longer appear.

 

Notes

  • If you need to tag many Items at once, you can use Smart Filters to do this. See this article for more details.
